About CreditPal

What is CreditPal?

CreditPal is a secure online business management tool used by SMEs with their existing accounting software to comprehensively review and efficiently prepare detailed management accounts for internal use, with the option to submit standardised and validated summaries of these accounts to approved suppliers of credit and finance.

Who is the provider of CreditPal?

Future Route is the provider of CreditPal. Future Route is a leader in 'Intelligent Analytics' - the application of artificial intelligence and advanced data analytics to derive answers to business problems held within significant volumes of data.

CreditPal and CreditPal Plus are powered by another Future Route product, Validis. Validis is a highly secure Software-as-a-Service (SaaS) accounts review solution. It is designed specifically for accountants and senior management - whether within an SME company or in practice - to transform their current procedures for reviewing company accounts. It allows them to identify and calculate key financial performance indicators and produce timely, detailed and informative management reports.

Validis is accredited by the Institute of Chartered Accountants in England and Wales and is recommended by the ACCA and leading industry experts promoting industry best practice and innovation.

Data Security

Is my data secure?

Any information you upload to CreditPal is completely secure and confidential. CreditPal is ISO27001 certified and employs the highest possible levels of security to ensure the privacy and safety of your accounting data. All information is encrypted during its transmission to the service and it can only be accessed over secure internet sessions by people authorised in your company.

CreditPal is hosted in a world class cloud computing system operated by Amazon. CreditPal shares the same physical facilities as the Amazon.com service. This system provides a range of facilities that ensure the CreditPal service delivers the highest security, availability and dependability to our customers.

What security certifications and accreditations does CreditPal have?

CreditPal uses advanced and proven methods of ensuring the utmost security of information. The service is ISO27001 certified, which governs security of information and network systems and means that all your sensitive data is kept secure throughout the submission process.

Who controls my data?

Only you can manage your data via your own secure CreditPal account. Once a copy of your accounts have been encrypted and uploaded, your data is contained within a secure web account that can only be accessed by authorised owners. Future Route's ISO27001 certified procedures mean that support staff can only view uploaded data to address technical issues and even then only with the owner’s permission.

IMPORTANT NOTE: CreditPal does not interfere with your source accounting application. It is entirely non-intrusive. It works off a copy of your accounts data, leaving the source accounting data untouched.

Who can access my data?

At no point is your underlying accounts data available to anyone you have not allowed to view it. CreditPal can be used to submit summarised monthly management accounts to credit and finance organisations but only if the SME user chooses to do so. At no time are your customers' or suppliers’ details exposed.

Accounting Software

I already have accounting software, why would I want CreditPal?

CreditPal complements and enhances your existing accounting system and processes. It automatically generates monthly management accounts and key performance indicators, which provide you with the financial insight you need to better manage your business.

CreditPal also assesses the quality of your accounts, highlighting any issues that are present and providing you with the tools and guidance you need to improve them. It does this by extracting a copy of the data from your existing accounting package (see “which accounting software does CreditPal support?”). You don’t need to change your accounting package to use CreditPal and none of your source data is affected.

Because this is achieved via a secure online service, the business insight that CreditPal provides can be quickly and efficiently shared internally with managers, directors and board members. As well as this, CreditPal allows you to submit summarised, standardised and validated versions of these management accounts to your chosen credit and finance organisations. These summarised accounts will only go to these organisations if you choose to submit them and only in a format that you have approved.

Do I have to change my accounting software?

Absolutely not. As an online service, CreditPal complements your existing accounting application (see “which accounting software does CreditPal support?”). It takes a copy of the data from your accounting software, leaving your source data intact. Throughout this process your data is securely encrypted so that no one is able to view it except you (For further information on data security, see “Is my data secure?” section).

Which accounting software does CreditPal support?

Fully supported:

  • Sage 50 Accounts 2008 (v14), 2009 (v15), 2010 (v16) and Sage Line 50 v8, v9, v10, v11, v12 and v13
  • MYOB Accounting and Accounting Plus v15, v16, v17 and v18

  • Controlled release (increased customer care will be provided to users of these accounting systems):

  • Quickbooks 2006 Pro and Accounting and Quickbooks 2008 Pro and Premier
  • Sage MMS 3.5
  • Sage Instants v12, v14, v15 and v16
  • Sage 200 v4.1, v5.0, v5.1 and 2009
  • MS Office Accounts 2008 and 2009

  • Support for the latest TAS products is being finalised and will cover:

  • TAS Books 1, 2 and 3 (v8), Basics (v7), First Books and TAS Books and TAS Books for Accountants

  • IMPORTANT NOTE: It is not possible to upload a copy of your accounting data from Excel as CreditPal is not able to test the integrity of the unstructured data held in an Excel spreadsheet.

    What if my accounting software is not yet supported?

    CreditPal is working hard to enable connection with other accounting software systems soon. If your system is not listed above, please contact us for further information on when it will be supported.     Getting Started

    How do I access the CreditPal service?

    CreditPal is a secure internet-based application that requires no additional software installation or hardware set up. Simply subscribe, register your details and then log in to your secure CreditPal account.

    How can I improve the security of my CreditPal account straight away?

    We advise all users to change their password as soon as they log in to the service for the first time. This is achieved by clicking the My Account tab in the top right hand corner of the screen and selecting the change password option.

    Using CreditPal

    What is Upload?

    The first step in the CreditPal service is to upload a copy of your accounts data to your secure CreditPal account. To upload your data, you need to be at the computer that has your accounting software and data on it and to have an internet connection.

    Then it is a simple question of following an easy on screen wizard. CreditPal connects to your accounting software, takes a copy of your accounts data then securely encrypts it and sends it to your CreditPal Plus account (for more information on data security, see “Is my data secure?” section). Your source data is not affected in anyway and you do not need to install anything onto your computer.

    Once the transfer has taken place (typically a matter of minutes) your data is indexed and ready for you to search, browse or review in detail.

    How do I use the CreditPal tools?

    The three main CreditPal Plus tools are search, review and browse, which you will find at the top of the screen. Just click on them and follow the on screen instructions.     What is my quality of accounts score?

    CreditPal assesses the completeness and accuracy of your accounts data by checking every transaction within your accounts and then awarding you a score on this basis.

    This score helps you to understand the quality of your accounts and improve it using the CreditPal tools. Also, if you choose to submit your summarised management accounts to credit and finance organisations via CreditPal, your score helps you ensure that data is in the best condition.

    Your score is based upon commonly accepted good accounting practice. By operating good monthly controls in your organisation and keeping your bookkeeping up-to-date you can maintain the highest possible score.

    By upgrading to CreditPal Plus, you can see the detail behind each test that is contributing to your score. To ensure you know how to achieve a high quality of accounts score, CreditPal Plus provides guidance on best practice and gives you the tools you need to make the required adjustments.

    What is the quickest way to contact support or send any feedback I have?

    Click on the contact support tab in the top right hand corner of the screen. You will then have the option to open a case with our support team or give feedback on the service.

    Submitting Data

    Do I have to submit my data?

    No. CreditPal can be used solely as a business management which enables you to comprehensively review and efficiently prepare detailed management accounts for internal use, helping you to manage your business better. Your data would remain on your secure CreditPal account, without anyone having access to it except you.

    However, one of the additional benefits of CreditPal is that it allows SMEs to submit summarised management accounts, which have been standardised and validated, to their chosen suppliers of credit and finance. These organisations are increasingly requesting up-to-date management accounts information from SMEs on a far more frequent and regular basis. By automating the production of this summarised data, CreditPal makes this process as quick and simple as possible for the SME user.

    Not only that, by checking every transaction in the accounts data, it means SMEs are submitting fully validated data which they've been able to check before submission

    If I choose to submit data, who will receive it?

    Only the third party organisations that you have chosen will receive that data. CreditPal already has agreements with a number of credit and finance organisations that involve them receiving data from SME users. However, none of your data will be submitted to these receivers unless you choose to submit it and only once you have confirmed the information being sent.

    What data will be submitted?

    Only summarised management accounts information is submitted via CreditPal. This information is just headline figures and does not include any confidential customer or supplier details.

    Usually, this information consists of a Profit and Loss and Balance sheet, along with a quality of accounts score for your data. However, during the Check and Submit process you can see exactly what data will be submitted and are able to confirm all of it before you submit it. If at any point during this process you are unhappy with the information you see on screen, you can cancel the submission and use the CreditPal tools to correct it.

    Can I check the data before it is submitted?

    Yes. Nothing will be submitted except the information you check and confirm during the Check and Submit process. If at any time you are unhappy with what you see on screen, you can cancel the submission and use the CreditPal tools to correct it.

    Is any of my confidential data exposed?

    No. None of your confidential data is exposed.

    If you choose to submit your data, you will typically be submitting a Profit and Loss and Balance sheet along with your Quality of Accounts score, which include no customer, supplier or transactional detail. To reassure you further, you are able to check and confirm exactly will be submitted before you actually confirm the submission, allowing to cancel the process at any time.

    Do I have to submit my data to Graydon?

    No. Graydon is one organisation which CreditPal has a relationship with as a receiver of management accounts data. However it is up to the SME user to decide whether they want to submit their summarised management accounts to Graydon.

    If you do decide to submit your data to Graydon, you will receive an up-to-date credit recommendation based on your current trading position not your out of date annual statutory accounts.

    You'll receive a free copy of your business's enhanced credit report, containing a new credit recommendation and the summarised management accounts you submitted, while a more comprehensive report on your business, the Graydon Level Three Report with management accounts, will be available to buy from Graydon.

    What are Closed User Groups?

    CreditPal has agreements with specific credit and finance organisations that allow SME users to send their data to a specific receiver and no-one else. These can take the form of a trial or an ongoing commitment but one thing is for sure - the SMEs involved in these closed user groups will know exactly who their data is being sent to and that no-one outside that closed user group will receive it.
